LandlordLite — Terms of Service
1. About these terms
These Terms of Service ("Terms") govern your use of LandlordLite, a property compliance management service operated by T Reed and Son Ltd, a company registered in England and Wales ("we", "us", "our"). Our registered office is at 20A Church Street, Saffron Walden, Essex, CB10 1JW.
By creating an account and using LandlordLite, you agree to these Terms in full. If you do not agree, you must not use the service. You must be at least 18 years old to use LandlordLite.
2. What LandlordLite is
LandlordLite is a compliance management tool designed to help self-managing private landlords in England track their legal obligations, store compliance documents, manage tenancy records, and generate prescribed notices and documents.
LandlordLite is not a law firm. We do not provide legal advice. Nothing in LandlordLite — including any document, notice, template, reminder, or guidance text — constitutes legal advice. You are responsible for ensuring your compliance with all applicable laws and regulations. If you are unsure of your legal obligations, you should seek advice from a qualified solicitor or the National Residential Landlords Association (NRLA).
3. Your account
You are responsible for maintaining the security of your account credentials. You must not share your login details with anyone else. You must notify us immediately at support@landlord-lite.com if you suspect your account has been compromised.
You must provide accurate information when creating your account and keep it up to date. We may suspend or terminate accounts that contain false or misleading information.
4. Subscription and payment
LandlordLite is offered on a subscription basis. Pricing is as displayed on our pricing page at the time of subscription. All prices are in pounds sterling and inclusive of VAT where applicable.
Your subscription begins with a 7-day free trial. Your card will be charged automatically at the end of the trial period unless you cancel before the trial ends. You may cancel at any time through the billing section of your account. Cancellation takes effect at the end of the current billing period — you will retain access until that date.
We reserve the right to change our pricing with 30 days written notice. Continued use of the service after a price change constitutes acceptance of the new pricing.
Payments are processed by Stripe, Inc. We do not store your card details. Stripe's terms and privacy policy apply to payment processing.
Refunds are not provided for partial billing periods except where required by law.
5. Your data and tenant data
You retain ownership of all data you enter into LandlordLite, including property details, tenancy records, and uploaded documents.
When you enter tenant contact details or use LandlordLite to send documents to tenants, you confirm that you have a lawful basis under UK GDPR to share that data with us for the purpose of providing the service. You are the data controller for tenant personal data. We process it only on your instruction as a data processor. You are responsible for ensuring tenants are made aware that their data is processed in connection with your use of LandlordLite.

6. Document generation
LandlordLite allows you to generate documents including Written Statements of Terms, Section 13 rent increase notices (Form 4A), and Section 8 possession notices (Form 3A).
You acknowledge and agree that:
- All generated documents are based on information you have entered into the system. You are responsible for the accuracy and completeness of that information.
- LandlordLite does not verify the legal validity of any generated document. A document generated by LandlordLite may be invalid if the information you have provided is incorrect or incomplete.
- Generated documents do not constitute legal advice. You should seek independent legal advice before serving any legal notice on a tenant, particularly Section 8 possession notices.
- We are not liable for any loss, cost, or consequence arising from an invalid, incorrectly completed, or incorrectly served document.
- Legal requirements change. Document templates in LandlordLite reflect our understanding of the law at the time of development. We cannot guarantee that templates remain current following legislative changes. You are responsible for verifying that any document you serve is compliant with current law.
7. Compliance reminders
LandlordLite sends automated email reminders about upcoming certificate renewals and compliance deadlines. These reminders are provided as a convenience only. We do not guarantee that all reminders will be delivered or that they will reflect every applicable deadline. You remain responsible for monitoring your own compliance obligations. We are not liable for any missed deadline, fine, or legal consequence arising from a missed or undelivered reminder.
8. Acceptable use
You must not use LandlordLite to:
- Process data relating to properties located outside England
- Store or transmit unlawful, defamatory, or fraudulent content
- Circumvent any security or access control measure
- Attempt to reverse engineer or copy any part of the service
- Use the service in any way that violates applicable law
9. Intellectual property
LandlordLite, its design, software, and content are owned by T Reed and Son Ltd or our licensors. You may not copy, reproduce, modify, or distribute any part of the service without our prior written consent. Government-published documents available through LandlordLite (such as the RRA Information Sheet) remain the property of His Majesty's Government and are reproduced under the Open Government Licence.
10. Service availability
We aim to provide a reliable service but do not guarantee uninterrupted availability. We may carry out maintenance, updates, or modifications at any time. We are not liable for any loss arising from service unavailability.
11. Limitation of liability
To the fullest extent permitted by law, T Reed and Son Ltd's total liability to you in connection with LandlordLite shall not exceed the total subscription fees paid by you in the 12 months preceding the claim.
We are not liable for any indirect, consequential, or special loss, including but not limited to: loss of rental income, legal costs arising from invalid notices, regulatory fines, or loss of data.
Nothing in these Terms limits our liability for death or personal injury caused by negligence, fraud, or any other liability that cannot be excluded by law.
12. Changes to these Terms
We may update these Terms from time to time. We will notify you by email at least 14 days before material changes take effect. Continued use of LandlordLite after that date constitutes acceptance of the updated Terms.
13. Termination
We may suspend or terminate your account if you breach these Terms, fail to pay your subscription fees, or use the service in a way that is harmful to other users or to us. On termination, you may request an export of your data within 30 days. After 30 days we may delete your data in accordance with our Privacy Policy.
14. Governing law
These Terms are governed by the laws of England and Wales. Any dispute arising from these Terms shall be subject to the exclusive jurisdiction of the courts of England and Wales.
